Workflows Overview

The Workflows Overview dashboard gives a consolidated view of requests across the system. From a single screen you can track how many requests have been submitted, see how they break down by type and status, filter the data by what matters to you, and order a detailed report delivered to your email.

  1. After logging into the SelfService portal, open the dashboard at /selfservice/workflow-request-report (for example, https://<your-server>/selfservice/workflow-request-report).

  2. You will then see the Workflows Overview screen, which is organized into a filter bar, an email report banner, summary metric cards, and a per-type chart section.

Filtering requests

The filter bar at the top of the screen lets you narrow the data down to the requests you care about. After adjusting any filters, click Apply filters to refresh the dashboard. Click Clear all to reset every filter back to its default and reload the data.

The available filters are:

  • Date type — a toggle that controls which date the date range applies to:
    • Submitted — filter by submission date;
    • Completed — filter by completion date.
  • Date range — the start and end dates used together with the date type above.
  • Type — a searchable, multi-select list of request types (for example, Add User To Role, Revoke Access). Leave it empty to include all types.
  • Status — limit the results to a single status, or choose All statuses. The available statuses are In Progress, Approved, Rejected, Cancelled, and Expired.
  • Requester — restrict the results to requests created by a specific user.
  • Target user — restrict the results to requests made for a specific user.

Summary metrics

Below the filters, three metric cards summarize the requests that match the current filters:

  • Total — the total number of matching requests;
  • In progress — requests that are still awaiting a decision;
  • Completed — requests that have reached a final state (approved, rejected, cancelled, or expired).

Requests by type and status

The Requests by type & status section shows one chart per request type. Each chart displays the total number of requests of that type along with its completion percentage in the center, and a color-coded breakdown around it.

By default, each chart distinguishes only between In Progress and Completed requests. Turning on the Show completion breakdown toggle splits the completed portion into its individual outcomes — Approved, Rejected, Cancelled, and Expired — so you can see exactly how requests of each type concluded.

If there is no data for the selected period, the section displays a No data for the selected period message.

Ordering a detailed report by email

For a full record beyond the on-screen summary, use the Order a detailed report banner. Clicking Order report by email sends you an email containing a detailed report of the requests matching the filters currently applied — one row per request, including its type, status, requester, assignee, and submission date.

While the report is being prepared the button shows Requesting…, and once it has been ordered a confirmation (Report requested — check your email) is displayed. You can adjust the filters and click Request again to order another report.
